An AI task manager is a to-do app that does some of the work of managing the list for you. Depending on the tool, it turns notes or speech into tasks, splits a big task into steps, finds time on your calendar, or lets an assistant such as Claude change tasks on your behalf. This guide compares six AI task management tools with their October 2026 prices and explains how to choose one.
It covers personal and small-team task lists. For larger project suites such as Asana, ClickUp and monday.com, read the best AI project management tools for 2027.
What AI task management does
AI task management features fall into four groups:
- Capture: you paste text, forward an email or speak, and the app creates tasks with dates, priorities and labels.
- Breakdown: the app splits a vague task, such as “launch the newsletter”, into concrete steps.
- Scheduling: the app places tasks on your calendar as time blocks and moves them when plans change.
- Agent access: an outside assistant such as Claude, ChatGPT or Cursor reads and changes your tasks through the Model Context Protocol (MCP).
Most tools do one or two of these well.

Motion
Motion is an AI planner. You add tasks with deadlines, durations and priorities, and Motion places them on your calendar as time blocks. When a meeting moves or a task runs over, Motion builds a new plan. It also warns you days ahead when a task is at risk of missing its deadline, and it can turn a project description into tasks with deadlines and assignees.
Pricing: Motion has no free plan. On the pricing page, individuals pay $29 per month for Pro AI or $39 for Business AI on annual billing. Teams pay $19 or $29 per seat. Pro AI includes 7,500 AI credits and Business AI includes 15,000.
Fits: people with many deadlines and a busy calendar who want the app to decide when each task happens. Limits: Motion schedules from your estimates. If you do not set durations and deadlines, the schedule has little to work with.
Todoist
Todoist is a fast to-do list with projects, labels, filters and board layouts. Its AI, Todoist Assist, has several parts, described on the Todoist Assist page:
- Ramble: you speak, and it turns your words into tasks with dates, labels and priorities. Ramble understands 40 languages.
- Task Assist: turns a goal into a plan, breaks a big task into steps or rewrites a vague task.
- Filter Assist: builds a filter from a plain-language description.
- Email Assist: turns a forwarded email into a task with the key details.
Todoist also has an official MCP server that works with Claude, ChatGPT, Copilot and any MCP-compatible client.
Pricing: The Beginner plan is free, with 5 personal projects, Filter Assist and limited Ramble sessions. Pro costs $5 per month on annual billing ($60 a year) and adds unlimited Ramble, Task Assist, a calendar layout and 300 projects. Business costs $8 per user per month and adds a shared team workspace.
Fits: anyone who wants an AI to-do list that captures tasks quickly and stays simple. Limits: Todoist does not schedule tasks on your calendar for you.
Reclaim
Reclaim is a scheduling layer for Google Calendar and Outlook. Reclaim time-blocks tasks from the app you already use, including Todoist, Asana, ClickUp, Jira, Linear and Google Tasks. Its AI agents protect focus time, schedule habits, add buffer time around meetings and suggest new times when meetings conflict.
Pricing: The free Lite plan includes 5 AI agents, a one-week scheduling range and one calendar sync, for one user. Starter costs $10 per seat per month on annual billing, for up to 10 seats, with an 8-week range. Business costs $15 per seat for up to 100 seats, with a 12-week range. Enterprise costs $22 per seat. The pricing page lists Claude and ChatGPT connections as read-only.
Fits: people who like their current task app but need its tasks scheduled around meetings. Limits: Reclaim is not a task list on its own, so you still need a separate task app.
Sunsama
Sunsama is a daily planner that brings tasks and calendar events into one plan for each day. Its built-in assistant, Sunny, can create, edit, move and complete tasks, plan your day, sort your backlog and summarize the work you finished. Sunsama also offers an MCP server for outside assistants.
Pricing: One Pro plan costs $17 per month on annual billing or $22 billed monthly, after a 14-day free trial with no card required. Enterprise pricing is on request.
Fits: people who plan one day at a time and want an assistant to help. Limits: there is no free plan after the 14-day trial.
Trello
Trello is best known as a board tool, but its Inbox and Planner make it a personal task manager too. From the Standard plan up, AI quick capture turns emails and Slack or Teams messages into to-dos. AI organization adds checklists and due dates, merges cards and schedules focus blocks on your calendar. AI can also build a board with lists and cards from a goal you describe.
Pricing: The Free plan includes the Inbox and a view-only Planner, but no AI. Standard costs $5 per user per month on annual billing ($6 monthly) and adds the AI features and full Planner access.
Fits: people who already think in cards and lists and want AI capture at a low price. Limits: table, timeline and calendar views need the Premium plan at $10 per user per month.
KanbanWP for team task management in WordPress
The apps above are hosted services with their own logins. If your team already works in WordPress, KanbanWP adds kanban boards to your admin, with a My Tasks view that lists the tasks assigned to you on a board, sorted by due date. Its AI runs on your own OpenAI, Anthropic, Google Gemini or OpenAI-compatible API key:
| Feature | What it does |
|---|---|
| Text to tasks | Turns pasted notes into tasks with priorities, labels and due dates, in the board’s first stage or a stage you choose |
| Task breakdown | Suggests subtasks for a task, and you choose which ones to create |
| Task summary | Summarizes one task |
| Board summary | Writes a daily standup or a weekly progress report |
| Generate board | Creates a board with stages and starter tasks from a short goal (plugin admins only) |
| Client update | Drafts a friendly or professional update that leaves out internal tasks and comments |
| Command | Runs short instructions such as “move”, “assign” or “set the due date” |
Plugin admins choose which WordPress roles can use AI and set a monthly token cap that applies to each user. The AI Usage screen shows each user’s tokens this month. The MCP server lets Claude, Cursor or Codex list boards and create, update and move tasks, with no delete tool.
Fits: agencies, editorial teams and small businesses that run on WordPress and want shared task boards without per-seat fees. Limits: in version 1.0.1 the AI features are reached through the REST API, and the board has no AI buttons yet. KanbanWP is a team board, not a personal calendar planner.
How to choose an AI task manager
Use these questions to narrow the list:
- Is the list for you alone or for a team? Motion’s individual plans, Sunsama and Todoist Pro suit one person. Todoist Business, Reclaim’s team plans and KanbanWP suit shared work.
- What wastes your time today? If typing tasks is the problem, pick strong capture (Todoist). If deciding when to do them is the problem, pick scheduling (Motion or Reclaim).
- Do you want to work from an AI assistant? Check for an MCP server and whether it can write, not only read.
- How is AI billed? Motion uses credits per plan, Todoist includes AI in Pro, and KanbanWP bills tokens through your own provider account.
- Where does your data go? Check which AI provider processes your tasks and what its terms say about training.
A worked example
A freelance editor has 30 open tasks across three clients and loses an hour each Monday sorting them. Here is how each approach changes that hour:
- Todoist: she speaks her week into Ramble, and the tasks arrive with dates and client labels. She still decides the order.
- Motion: she adds durations and deadlines once, and Motion builds the week’s calendar and moves tasks when a client call runs late.
- KanbanWP: her clients’ boards already live on her WordPress site. She pastes each client’s email into text to tasks, and the cards appear in the first stage with due dates. A weekly board summary becomes the update she sends each client.
Managing tasks from Claude or ChatGPT
Many people now plan work inside an AI assistant and want it to update their task list directly. Updating tasks from an assistant needs an MCP server on the task manager’s side. Here is what each tool offers:
- Todoist: an official MCP server for Claude, ChatGPT, Copilot, VS Code and other MCP clients, with OAuth sign-in.
- Sunsama: an MCP server is included in the Pro plan, according to its pricing page.
- Reclaim: the pricing page lists its Claude and ChatGPT connections as read-only.
- KanbanWP: a built-in MCP server with seven tools for boards, tasks and comments, protected by a site-wide token.
Free AI task managers
These options include AI at no cost:
- Todoist Beginner: Filter Assist and limited Ramble sessions.
- Reclaim Lite: 5 AI agents and a one-week scheduling range for one user.
- KanbanWP: a free plugin. You pay only your AI provider, and Google’s Gemini API has a free tier.
Motion and Sunsama offer free trials, not free plans.
Common mistakes with AI to-do lists
- Accepting every AI task as written. Generated tasks are often too vague or too many. Edit the list before you commit to it.
- Scheduling without estimates. An AI planner needs durations. Without them, the planner has to guess how long each task takes.
- Giving an agent write access straight away. Start with read-only questions, then let it create tasks, and only later let it move or edit them.
